Purpose
To dramatically speed up inviting patients in bulk for the whole Practice so that all invites can easily be handled by a single staff member (or more if preferred).
One-Off Set-Up requirements:
Ensure Settings/Messaging has been customised to suit - see here for instructions
DAY-TO-DAY Usage
All recall invites organised for the month in under a minute. Two simple steps:
Select all patients
Send SMS Invites (automatically sends next SMS in the template sequence, ignores patients already fully booked and sends in batches to avoid reception overwhelm)
Selection Toolbar
Filter to relevant patients if you wish, then click the select all checkbox in the header of the patient table (far left)
Or manually select 1 or more patients by selecting/deselecting each patients' checkbox
The black selection toolbar will display.
Once relevant patients are selected - click 'Invite'
Dismiss will deselect all patients and hide the toolbar again
'Send Next SMS' Panel
If you select Send an SMS from the toolbar a side panel will open;
If you want to record that you have sent a bulk text with a system outside of Practice Toolkit, click to switch at the bottom of the panel.
The panel will display the number of patients and which text template will be sent to each group based on the sequence selected in the Messaging Settings page.
You can click to expand each group to see the preview of messages.
Patients where no invite is required (where they have booked or completed all required appointments for that recall month) will automatically removed from the send list.
Once you click to send invites this cannot be undone or cancelled. All batches will eventually be sent.
Invite Sequencing
To enable the 'Send Next' functionality when sending SMS from Monthly Overview or Patient Summaries, in the Messaging Settings page, select which templates you wish to use for each invite.
There are 4 options, the fourth selection will be re-used if sending more than 4 invites to the same patient (for the same recall month)
Templates must be created/edited in the section above to be used in the sequencing.
To change the template selected, click the dropdown for the relevant attempt and scroll to select an alternative. this will automatically save and take immediate effect. NB already triggered but delayed batch emails will use the template at the time they were triggered to send.
