Set Up & Onboarding Process (Self Service Overview)

One-Off Setup & Day to day guides for PRO

We'd recommend using our free guided Pilot sessions to help get everything set up to suit you.

If you'd prefer to do it yourself follow the steps below

Sign Up, Explore -> Pilot

When you first Sign Up you'll associate with your Practice and be granted a temporary 'Explorer' Licence. If you're the first staff member we'll need to authorise you to access that Practice - from then on you can manage any other staff. This starts the 'Pilot' Licence and gives full access to the system.

If you'd like to speed this up, please reach out to the Support Team using the Help Widget in the bottom right of the screen.

To make maximum use of the free 45 day pilot, get ahead of the game and adapt the recall list before you even start (see below).


One Off Set Up

1) Recall List & Logic (20-45 mins) ASAP

  • Make PRO work the way you want, for the relevant patients.

  • The Recall logic determines the eligible patient population for the recall, and what appointments are needed, which staff, tests and at what recurring frequency (e.g. Phlebotomist, LFTs, every 12 months)

  • Print for easy adjustments from relevant clinicians - scan, email and we'll even make any changes requested for you.

2) Optimisations (5 mins) (1st Pilot Session)

  • Select 'Patient Birthday' or 'Last Medication Review' as the anchor month

  • Select 'tolerance windows' for completing appointments based on recent tests, e.g. is something needed 12 monthly but done 6 weeks ago appropriate to use?

3) Sync/Upload Clinical Data (5-10 mins) (1st Pilot Session)

  • Set Up Automatic Sync (England only)

  • Or, Import custom search into Clinical System, then export/upload

4) EMIS Data Accuracy/Audit (40-90mins) *Optional, impacts 2-3% of patients (Between Pilot Sessions)

  • Audit any 'Problem' coding

  • Patients missing NHS Numbers

  • Patients with long durations between planned appointments


Now that all the Set Up is completed,

you're ready to use PRO and invite patients.

Start here! Get to an empty patient list each month in 3 repeatable steps...

  1. Automatically or manually complete partially done appointments

  2. Link future appointments where possible

  3. (re)invite anyone left
