Benefits of PRO for Reception Team

Context

A patient will have been invited to book required appointments to cover their recall requirements. They'll contact the practice to make that booking.

A standard SMS Template (unless customised by the Practice) will read something like;

"Dear Mr Jones, please call your GP on 01234 567890 to book a RECALL appointment relating to DEC 26"

What to do with Practice Toolkit - Reception Training

  1. Have Practice Toolkit open in a browser and leave it in the background - sign-in at the start of the shift and it'll stay accessible throughout the day.

    1. If you're able, add it to your default tab list, or to load automatically on start-up - contact our Support Team (bottom right widget) if you'd like to do this.

  2. When you answer the phone to the patient, find them in EMIS as normal.

    1. Identify their EMIS or NHS number, and while you're copying the number for Practice Toolkit, clarify the message they received to identify the relevant month they've been invited for.

  3. In Practice Toolkit

    1. Click on the 'Patient Search' (Top of the left side menu), click on the 'Go direct to patient' then paste their EMIS or NHS Number.

    2. This will load the Patient Summary and click 'Booking' on the right hand side of the relevant month

    3. Determine from the tests an appropriate duration and book in EMIS.

    4. COPY the appointment notes into the appointment 'Reason' in EMIS.

    5. Change Status to 'Booked'

    6. Repeat per staff group needing an appointment

  4. Confirm times/dates with patient and close.
